Cancellation, Return & Refund Policy
Entity: Pingax InMotion LLP | Brand: SHREE COCONUT & PINGAXIM | Effective: January 1, 2026 | Last Updated: October 27, 2026
1B2B Commercial Agro-Trading Distinction
Unlike consumer retail e-commerce, transactions executed through Pingax InMotion LLP ("PINGAXIM") are large-scale Business-to-Business (B2B) commercial bulk contracts involving perishable agro-horticultural commodities (HSN 08011210 / 08011910).
Because fresh coconuts are harvested, packed in breathable mesh bags, and loaded directly against confirmed purchase orders, general "change of mind" returns cannot be accommodated once goods are in transit or unloaded. Instead, Pingax InMotion LLP enforces a rigorous, fair, and legally binding Financial Credit Note & Refund Mechanism for valid commercial claims.
2Bulk Order Cancellation Conditions
If cancellation is requested before mandi lot allocation and sorting commences at our depot (typically within 4 hours of order placement), the order is cancelled with zero penalty and 100% advance refunded via NEFT within 24 banking hours.
If the consignment has already been sorted, graded into customized jumbo mesh bags, and palletized, cancellation incurs a standard nominal mandi handling fee (₹1.50 per nut) to cover loading, sorting, and mesh packaging costs.
Once the dedicated freight vehicle departs our staging hub with an active e-Way bill and computerized weighbridge ticket, transit orders cannot be cancelled mid-route. The consignee must receive the vehicle and lodge any claim through the formal 48-hour inspection channel.
3Permissible Commercial Return & Claim Scenarios
Financial credit notes and compensation are strictly issued under three verified conditions:
Crushed or cracked nuts resulting from vehicular overturn or rough transit exceeding the statutory 2% transit tolerance.
Concealed internal copra spoilage or sour water verified upon random sampling of at least 50 nuts in presence of warehouse survey video.
If our packing warehouse mistakenly dispatches a grade or product variant different from your accepted Purchase Order.
4Mandatory 48-Hour Inspection & Reporting Window
The buyer's receiving godown manager must inspect arriving consignments and record any shortage, transit damage, rot, or SKU mismatch within 48 hours of vehicle arrival.
Because fresh coconuts rapidly deteriorate under unmonitored humidity, non-ventilated godowns, or direct sunlight, claims submitted beyond 48 hours of vehicle unloading cannot be accepted.
5Claim Submission & Verification Evidence
To ensure rapid processing, submit claims through the Distributor Portal or WhatsApp (+91 98250 11001 / +91 98250 11201) with:
- Original Tax Invoice Number and LR (Lorry Receipt) copy.
- Signed unloading delivery challan with driver's counter-signature detailing damaged bag counts.
- High-definition photographs and video clips of damaged bags, displaying batch numbers and color tags.
- Destination computerized weighbridge slip (for weight shortage claims exceeding 2%).
6Section 34 GST Credit Notes & NEFT Refund Timelines
Approved claims are settled strictly in compliance with Section 34 of the Central Goods and Services Tax (CGST) Act, 2017:
- Electronic Credit Note: A formal GST Credit Note adjusting the taxable value and applicable 5% GST is issued within 48 hours of claim verification and reflected on the GST portal (GSTR-1).
- Ledger Credit vs Direct Refund: Credit Notes are automatically credited to the buyer's active trading ledger for adjustment against upcoming dispatches.
- Bank NEFT / RTGS Transfer: If the buyer requests a direct cash refund, the verified amount is transferred directly to the buyer's registered corporate bank account within 3 to 5 Banking Days.
